Privacy Policy

Formonix AI ChatBot ("we", "us", "our") is operated by Formonix Marketers, located in Lahore, Pakistan. This page explains what data we collect, why, and how it's protected.

1. What we collect

  • Account info: name, email, business name, password (hashed via bcrypt).
  • WhatsApp data: messages sent/received via your connected numbers, contacts who message you, your Knowledge Base entries and uploaded media.
  • Payment info: screenshots of bank/EasyPaisa/JazzCash receipts you submit. We do NOT store card numbers.
  • Usage logs: timestamps of API calls, error logs, IP addresses (for security).

2. How we use it

  • To run the bot — replies, broadcasts, lead capture.
  • To process subscription payments (manual review by our admin team).
  • To improve the product (anonymized aggregate stats only).
  • To contact you about your account (never marketing without consent).

3. Where it lives

All data is hosted in our Pakistan-based MySQL infrastructure. WhatsApp session credentials are encrypted at rest. Each workspace is isolated — no cross-tenant data access.

4. AI processing

When the bot replies via Claude AI (Anthropic), the customer's message + your relevant Knowledge Base entries are sent to Anthropic's API for inference. Anthropic does not store these requests for training. On Pro+ plans you can use your own Anthropic API key to bypass our shared usage entirely.

5. Sharing with third parties

We do NOT sell your data. We share with: (a) Anthropic for AI inference, (b) your configured webhook endpoints (Zapier / your CRM), (c) WhatsApp/Meta as required to deliver messages.

6. Data retention

Active workspaces: data retained indefinitely. Cancelled workspaces: data retained for 90 days then permanently deleted. You can request immediate deletion any time by emailing us.

7. Your rights

  • Access — request a full export of your data.
  • Correction — fix any wrong info via the dashboard or by emailing us.
  • Deletion — request immediate deletion of your account.
  • Portability — download Knowledge Base / contacts as CSV/JSON.
